This Privacy & Cookies Statement describes how Excaliburancy (“Consultancy”) collects, uses, shares, and otherwise processes Personal Data (defined below) about:

Unless we specifically state otherwise, the Consultancy is the data controller of the Personal Data we collect and process, and is therefore responsible for ensuring that the systems and processes we use are compliant with data protection laws, to the extent applicable to us.

We collect the following categories of Personal Data about Site visitors, clients, prospective clients, suppliers and other third parties:

  • Special categories of data: As that term or related terms are applicable to us including as defined in relevant laws.
  • Registration data: Newsletter requests, event/seminar registrations, subscriptions, downloads, and username/passwords (where applicable).
  • Client service data: Personal Data received from clients in respect of employees, customers or other individuals known to clients, invoicing details and payment history, and client feedback.
  • Marketing data: Data about individual participation in conferences and in-person seminars, credentials, associations, product interests, and preferences.
  • Job applicant data: Data provided by job applicants or others on our Sites or offline means in connection with employment opportunities, which also may be subject to an additional relevant local recruitment privacy policy.

 

We collect Personal Data from several sources, either directly from the data subjects, or from clients, colleagues and publicly available sources. Where the Consultancy receives data from its clients about employees, customers or other individuals, the client is responsible for ensuring that any such data is transferred to us in compliance with applicable data protection laws.

Legal Advisory

 

To provide legal advice and respond to inquiries we use relevant Personal Data. We need to process your information in this way in order to perform our obligations under our contracts with our clients.

 

Management of Business operations and Administration

 

To manage our business operations and administer our client relationships we use the Personal Data as applicable. This processing is necessary in order to perform among other aspects, our obligations under the contracts with our clients (e.g. issuing and processing invoices) and collaborators (e.g. managing the supply of goods and services to the Consultancy).

 

Security

 

To protect the security and effective functioning of our Sites and information technology systems we use basic data, registration data, transaction data, and device data. It is necessary for our legitimate interests to monitor how our Sites are used to detect and prevent fraud, other crimes and the misuse of our Sites. To address compliance and legal obligations, such as checking the identity of new clients and to prevent money laundering and/or fraud we use compliance data, basic data, registration data, transaction data, and device data. Job Opportunities

 

To consider individuals for employment and contractor opportunities and manage on-boarding procedures we use job applicant data and compliance data. The processing is necessary for the purposes of recruitment and on-boarding and for complying with legal obligations to which we are subject and which may be subject to a relevant local recruitment privacy policy.

 

Cookies

We generally do not use any cookies. However, in the future, we may use and allow certain third parties to use cookies, web beacons, and similar tracking technologies (collectively, “cookies”) on our Sites. In such an event we will appropriately intimate you of exactly how the same will affect you.

We have implemented technical and organisational measures in an effort to safeguard the Personal Data in our custody and control. Except for very limited circumstances, we do not disclose the Personal Data to outside agencies or unrelated parties. Wherever we need to do so, the parties will be subject to the appropriate confidentiality, privacy and information security commitments, or where we believe it necessary to provide a service which you have requested, or as permitted or required by law, or as otherwise authorized or directed by you. This is also consistent with our professional obligations. As mentioned above, we can disclose or transfer to meet our legal obligations.
